Case Study: Woods Valldata

Not for Profit

Woods Valldata provides professional market leading fundraising services for the NFP sector.

The Woods Group Ltd acquired Valldata Services Ltd and undertook the construction of a new headquarters to enable the two operations to come together under one roof.

The project involved the complex relocation of 6 sites into their new headquarters building, and included over 200 office and warehouse staff, the contents of the printing areas, and warehouse stock which exceeded 600 pallets.

Requirements

  • Due to Woods Valldata’s commitment to servicing its client’s needs, minimum downtime was paramount in its requirements
  • The confidential nature of the information being relocated meant they needed a serviceprovider they could trust to move the IT securely
  • They required a Project Manager to assist in the planning and setting up of all the key time frames with each department due to the complex nature of the project
  • A supplier that was local to provide a flexible and cost effective service
  • Expertise to move industrial chemicals.

Solution

  • Pickfords provided an experienced Project Manager for 20 days to assist in the planning and running of the project
  • A local Pickfords team and local resources were allocated to this project, meaning that we were able to offer the client greater control by utilising a flexible service delivery, whilst also helping the environment, Having a local workforce, as well as a local supply chain also meant cost savings werepassed onto the client
  • A phased move plan over several weeks was devised to enable the smooth transition of each department
  • Warehouse stock was relocated over several days using rotating articulated trucks
  • Pickfords preferred specialist chemical moving partner was engaged to relocate the COSHH materials kept onsite
  • Pickfords disconnected and reconnected the desktop IT and provided a cabling up service to the new desks installed
  • Data security - Pickfords is GDPR aware and compliant and understood the implications of moving customer data securely.

Result

As a result of the successful relocation, Pickfords were awarded the clearance of the old site, donating furniture to a local hospital, and the remaining items being recycled.

Reference

“During the tender process Pickfords were really engaged and took the time to understand our requirements. This was evident when we received their quote as the narration accurately reflected the approach we discussed.

During planning they took the time to attend planning meetings, and gave advice on how to approach the more involved areas of the move. One of these areas was the relocation of our warehouse stock, and they worked closely with us to develop the most cost efficient plan. This involved the rotation of articulated lorries alongside the phased dismantling of our racking.

During move days we had a dedicated move manager on-site, who was our main point of contact. Our move manager had also been involved in the planning stage, so was up to speed on the requirements for each day. His attendance was invaluable and the team worked with speed and efficiency to complete the programme of activity.”
